The Role
 
Sankofa Square is seeking two energetic and enthusiastic individuals to fill the Seasonal Event Ambassador(s) positions, supporting the smooth delivery of events, on-site programming and daily activities at the Square. Reporting to the Manager of Operations, this role provides hands-on experience in outdoor, public events and programming, acting as the on-site representative for clients, staff, suppliers and the general public, while also assisting with administrative tasks and operational reporting.

The position offers a dynamic and supportive work environment that includes evening and weekend shifts, often in physically demanding outdoor conditions. The successful candidate will typically work 1–2 days per week in the office and 3–4 days per week on site, with two days off (generally weekdays), and should expect to work every other weekend throughout the contract.

Specific Responsibilities 

Event Coordinator & Client Services

  • Serve as the on-site point of contact clients and contractors

  • Represent the Square to the general public during event rentals.

  • Support Event Coordinators in the delivery of all client services.

  • Assist Event Coordinators with operational requirements for event clients.

  • On assigned events, oversee the occupancy of facility from load in to load out to ensure compliance with agreements, policies and procedures.

  • Support the oversight and coordination of Sankofa Square’s Busker Program.

  • Perform other event-related duties, as assigned.

Administrative & Event Documentation

  • Utilize the event booking management software to assist in tracking client requirements, supplier invoices, and final reconciliation details.

  • Assist in the organizing and maintaining data within the event booking management software.

  • Support Event Coordinators with administrative paperwork for the successful execution of events.

  • Assist in the preparation of staffing requests for upcoming events.

  • Oversee staffing requests, finalize schedules, and submit post-event staffing reports.

  • Complete pre and post-event facility inspection reports, assess damage, record equipment rental details, and document incidents for Event Coordinators and management.

  • Record and distribute meeting minutes.

Site Operations

  • Maintain a regular presence on the Square, supporting facility and operations audits and site inspections, actioning feedback as directed.

  • Assist with the supervision of contracted services to ensure smooth execution of the event plan and promptly report service issues to Square management.

  • Support the administration of the hazard and maintenance reporting system.

  • Assist with inventory management, including storage organization, damage reporting, and coordination of regular maintenance and repairs.

  • Upload and manage content for the digital screen program.

  • Perform other operations projects and duties as assigned.

Public Ambassador and Program Support

  • Support the smooth execution of Sankofa Square-led programming as the main on-site contact.

  • Support programming logistics by assisting with basic setup, coordinating with contractors , and helping facilitate a positive visitor experience.

  • Provide frontline customer service by greeting visitors, answering questions, and directing them site amenities, nearby services, and Square programs.

  • Promote Sankofa Square through positive visitor engagement and by sharing up-to-date program information.

  • Monitor and log overall cleanliness and general site conditions during daily programming, reporting and tracking issues.

  • Other public-facing or program support tasks as assigned.

Required Qualifications

  • Post-secondary education in a discipline pertinent to the job function preferred or an equivalent combination of education and experience in an event environment.

  • Experience in an outdoor event environment including working with suppliers, clients, the public and a demonstrated familiarity with load in and out procedures, production schedules and crowd management.

  • Experience utilizing a variety of software packages, including event management software, Word, Excel, Outlook and Canva.

  • Excellent skills in written and verbal communication, leadership, interpersonal relationships, as well as conflict resolution and problem solving.

  • Excellent organizational skills including the ability to prioritize and meet deadlines.

  • Ability to work independently and in a team, and to balance initiatives and follow direction appropriately.

  • Proven customer service/relations skills with the ability to liaise with major clients and the public.

  • Ability to communicate effectively with contracted services staff in coordinating events.

  • Ability to perform administrative and detail-oriented tasks.

  • Flexibility to work days, afternoons, early mornings, night shifts and weekends, as required by events and programming.

  • Ability to perform moderate lifting (up to 40lbs).
